What You'll Do

Reporting to the Auckland Operations Services Manager, the Principal Assistant & Office Experience Coordinator is a multifaceted role with a primary focus on providing high-level executive support to our Principals and Partners. This includes complex diary and travel management, comprehensive administrative assistance, and proactive coordination of priorities to ensure leaders are well-supported and able to operate effectively.

In addition to these core PA duties, the role supports the smooth day-to-day functioning of the Auckland office. This includes managing front-of-house services, coordinating meeting spaces, and contributing to the overall efficiency and presentation of the workplace. The role also plays a key part in nurturing a cohesive, values-driven office culture by supporting engagement initiatives and fostering a positive employee experience.

As the central point of contact for Client Services & Office Experience in Auckland, this role requires an in-office presence, 5 days p/week (Monday – Friday).

 
Principal Support (50%)

Proactively manage and coordinate the daily schedules of Principals and Partners across multiple time zones, ensuring they are fully briefed and prepared for engagements Organise complex travel arrangements and logistics, including flights, accommodation, visas and passports, in compliance with company policy Schedule and coordinate client, case team and administrative meetings, managing all associated logistics such as agendas, materials, and venue arrangements Manage corporate expense processes including AMEX reconciliations, invoicing, expense tracking and timesheet submissionsProvide high-level administrative support to advance the Principal/Partner’s commercial agenda, demonstrating a clear understanding client and case requirementsAct as a key liaison between the Principal/Partner, case teams and other stakeholders to manage schedules and resolve logistical needs effectivelyManage requirements and provide administrative support as directed by PrincipalDevelop and nurture strong working relationships with both internal and external stakeholders, including clients, to ensure seamless communication and support 

Office Experience (25%)

Oversee front-of-house operations, including greeting clients and managing inquiriesEnsure reception and client-facing areas are consistently maintained to a professional standardOversee visitor management processes, including issuing and tracking security and access passesServe as the primary liaison for Building Management and security teams regarding operational issues Log and manage maintenance requests for cleaning, repairs, and other operational needs to ensure a seamless workplace experienceMaintain shared spaces such as kitchens, meeting rooms, and utility areas, ensuring they are clean, stocked, and functionalMonitor and restock daily amenities, including food, beverages, and pantry suppliesRespond promptly to inquiries and requests from the Client Services inboxPlan and execute office-related events, including setup, catering and logistical support for both internal and client-facing functionsManage procurement and stock control of office supplies, corporate stationery and pantry essentialsCoordinate meeting room preparation according to booking requirements, including furniture arrangements, AV configuration, and cateringLead the organisation and execution of internal events such as team-building activities, milestone celebrations and other initiatives to foster engagement and a positive workplace cultureActively support key office and employee engagement initiatives, promoting a welcoming and inclusive environment 

Teaming@BCG Support (25%)

Provide operational support to the Teaming@BCG people function, including scheduling meetings and 1:1 sessions between Teaming Coaches and case teams, and managing the ANZ Teaming@BCG mailboxManage and maintain the Teaming@BCG survey tool (e.g. Honestly Engage), ensuring surveys are accurate, up-to-date, and accessible to relevant stakeholdersRegularly manage and update the staffing-by-project list for Teaming Coaches to ensure accurate visibility of team allocations and Team coach supporting modelAssist Teaming Coaches with process management and reporting, including the preparation and distribution of weekly insights and recommendations to StaffingEngage with regional and global Teaming Tech teams to troubleshoot and coordinate on Honestly and Tableau-related technical issuesContribute to broader teaming and sustainability initiatives, including the planning and execution of events and internal campaigns

What You'll Bring

Proven experience in providing comprehensive administrative support to numerous stakeholders, including calendar management and travel coordinationProficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, and Word)Exceptional organisational skills with a proven ability to manage priorities and meet tight deadlines effectivelyStrong communication and interpersonal abilities, marked by responsiveness, intuition, and high emotional intelligence A proactive and enthusiastic team player who actively seeks opportunities to contribute and assist colleaguesDemonstrated expertise in relationship management, acting as a reliable point of contact for both internal and external stakeholdersCommitment to delivering excellence in service, with a focus on attention to detail and qualityHighly adaptable and flexible, thriving in dynamic and fast paced environments with a positive and solution-oriented mindset
